Nenad Trajkovsk…: Hello everyone. First of all, if I seem a little bit scary, just 30 seconds ago we have another earthquake and this area suffered from serious earthquake. At the end of December, we have had a lot of deaths and injuries and now we have another one, but now 30 seconds ago, but I think it will be good. We will be good now. So I will be able to finish my session today. So let me start with Office Microsoft Lists. What is Microsoft List? Microsoft List is one… First it is the newest product in Office 365 family. And if we are talking about Microsoft List, we are talking about basically SharePoint List, but where is the difference? SharePoint List in the past was part of SharePoint and it is now part of SharePoint Online. But in the past it was… Let’s be honest, very ugly and a little bit difficult to use. Today we face a new, very easy to use, and very powerful product. So you can find it here in the Office 365 family which if you scroll down you will see this one, this is the icon lists.

Nenad Trajkovsk…: And when you open these lists, you will find certain things which you can do. First of all, let me show you that you can create new lists. That is the first thing. How can you create a new list? You have various possibilities. First of all, you can create a brand new list from the scratch. Second of all, you can create list from Excel and I going to show you that, then third option is create the list from existing list. So it means that if you have one list, you can create another one and then modify it, which will be much easier for you if you have to, only have to change a few or three fields than to create them all over again from the scratch. And the last possibilities are that you can create a list from some predefined templates. Those templates were not made by me, it were made by Microsoft. So let me start first with the easiest one, and that is create a list from a template.

Nenad Trajkovsk…: So let’s say that I have as a… I am project manager, and I want to track my progress, and let’s say that I’m going to use work progress tracker. I will choose this one and first of all, what I will see is how these lists looks. So I will see that I have work item, I have description, I have category, I have progress, I have priority, start date, due date, assigned to notes, and that’s it. And I will say, okay, use this template for me. Now I can say that I will give a name to this list. And I will say, this is my, for example, Work Progress List.

Nenad Trajkovsk…: I choose from various color and I could choose an icon. I will say, this is Icon for the list. And I will say, create, and I will jump right into the list. So if it suits me, I can start immediately to put items in it. So add items, but if it doesn’t suit me, if I, for example want something to add or something to delete, I can do it as well. So let’s say that I want add the column. And I will say a column, let’s say I will choose currency, I will say Task Cost. And I will say this is field for Task Cost and I will say this currency and that I need only two decimal places, and then I will say I have various formats, the formats from my country which is Croatia.

Nenad Trajkovsk…: But let’s say that I want to use, well say dollars, Canadian dollars. I will say default value, I can put default value or a calculate value but I don’t want to put any default value. And I will say, if it is about currency, I will show it later. I can choose between minimal and maximum values if I want to limit my amount upon which I want to put in that field, but I don’t want to do it for this purpose. And very interesting require that this column contains information. So if I put here, yes, it means that each and every role should have currency or cost put in it, so it cannot be blank.

Nenad Trajkovsk…: And if I want to enforce unique values, which I will not, let’s say that if I say that task one has $100 cost, then another task, task two cannot have another $100 cost because it is not unique. And I will say I don’t need those information. I will… I don’t need to put in every row this information. And I will say, you will see that I can have here task cost I can, of course, which I will show you later when I will start to create my own task list I can, for example say I don’t want… I can let’s say move task lists left or to right, let’s say I want move aside to the left. I want to, let’s say Notes move right, so I want to have Task Cost before notes et cetera, et cetera.

Nenad Trajkovsk…: Now there is two ways which I can put tasks or rows in the list. First of all, is just keep the new button. And I don’t have here the screen in which I can fulfill every single field which are defined in my list. If you see this asterisks here, it means that this is must have fields so it must be entered. So I will say work item, Let’s say that is my first work item. And I can put Description, this is a description for my first work item. I can say, it’s go to category, it is choice. I will say it is in planning. I will say that this type of work progress is not started, which is default here. I will show you how to get default for use in my next example. What is the priority? Priority is let’s say, it is low and Start Date I can put that Start Date is let’s say tomorrow and the end date is, let’s say here at 21st. And it can be assigned to whom? Let’s say that I will say, Kyle, no result found. Let’s say Ellen. Oh, here it is. So I can assign anyone who is part of my Office 365 users. I cannot put anyone, but only the users which are assigned to my Office 365 account.

Nenad Trajkovsk…: I can say… I can here put the notes. This is a task which is nice to have so don’t bother if you will not do it in time. Task, now I have Tasks Cost that I will say it is $123. And I will say, I can here put attachment but I’ll not. And this is where I can put save. Now you can see that I have various columns here and various items, but this is the complicated way to put the row or item in my list. I can use it as Excel. If I want to use it as Excel, I can hit editing grid and now I can just go to second row and I can just type as I will in Excel. My second work item and I can see it here call Description, Description. I can say this is Category which is Category, I will say engineering I will say it was. In Progress it has high priority. Start date is let’s say yesterday and end date, is Due date is here it is not assigned to anyone. It should be ended at 27th of January. I don’t need cost.

Nenad Trajkovsk…: And I can go to the fourth, I will hit enter and here you can see that I can put my third task. Fourth sorry et cetera, et cetera when I’m done exit grid view, and I will have what I just typed in. Okay this is the easiest way. If you want to use predefine task list which is made by from template, but well let’s say that I want as a project manager to create my own list, I will go to the blank list. This is from the scratch. And I will say To-Do list from… Okay To-Do list. What is that description this is Nenad’s To-Do list, I can choose a color let’s say it will be blue. I can say that it will use this icon or let’s say this icon and I can say create. When I create the brand new list I will have a list with only one column, which is Title.

Nenad Trajkovsk…: Of course, I don’t want this title. I will say I will hit on this column. And I will say column settings, and I will say rename it, and I will rename it to let’s say Task Name, okay. Say now I will add some additional columns, which I want to show you, but you can create your own columns as you want, as you need them for your To-Do list or any list which you are going to use in the future. First of all, when I add a column, I should choose what type of column is it? So see, since this is going to be person to consult, I will have, let’s say I have Task Name I will say personal which I can consult for specific tasks and I will use single line of text okay? And now I will say, name is person to consult. I would care description, this is a person who should be consulted if any doubt.

Nenad Trajkovsk…: Okay, this is single line of text. I can put Default value, I will say, not available. This is Default value so if I don’t enter anything, I will put Default value will be not available. More option, how much… How many characters can I put in this single line? So with this 255, let’s say 50. Let’s say that I don’t have a person who has a name, which is a larger than 50 characters. Do I have to put this information in each and every row? No. Should I enforce unique values? No, I don’t want if I want to use Kyle, I don’t want to have it only in one row. So I will say, no. And then I will say, save. This is okay, now person to consult. I can, you can spread it. Now I want to do date. I don’t want to start it by one to know what is the date like? Okay, let’s say that I want a deadline for deadline I have date and time. I will say Deadline, I will say, this is the latest day to finish the Task.

Nenad Trajkovsk…: I will say it is date and time, of course. Includes time, no, so I don’t want… I want to have only date, not the time, because I can say, for example, if I will include time, I can say that I need to enter, let’s say 6th of February, 5:00 PM. Do I have Default value? No. And more options do I have to put require that this column contains information? Let’s say for each and every task I have to, I must have due dates or deadline, I will say yes. Okay, save. Now I have deadline. Let’s say that I have a project name, for the project name I will choose, choice. What is choice? I will have Project Name. Here I can put this, this is Project Name. So I want to know for each and every task to which project it belongs. So I have here choice one, choice two, choice three, but this is not what suits me. I will have this is my project, which is called Project A and I will say this project will be blue in blue.

Nenad Trajkovsk…: I will have Project B, which is going to be in, let’s say yellow. And let’s say Project C, sorry [inaudible 00:19:16]. And I will have it let’s say green, but it’s not enough for me. I will have Project D as well. So I can just go and say add more choices, project D and I will say it will be let’s say gray okay. Now I want to have, can I add values manually? So if I don’t check this check box, I will only be able to choose between Project A, B, C, and D. But if I can add these values manually, I can choose, between project A, B, C, and D, but also I can add another project, Project E, a Project F, Project G whatever I want for this purpose, for this example, I will not allow to put another project.

Nenad Trajkovsk…: So you will be able only to choose between those four projects, but be aware if another project will come, you will have to edit this column and add in these… Between these choices, add your new project for example, Project E. Default value, do I want to have a Default value. Let’s say the Default value is Project A, and more options is should I use Drop-Down menu or Radio Buttons, I will choose Drop-Down Menu and this is also important here. Can I allow multiple selections? For example, if I say no, that means that for each and every role each and every task should belong only to one project and one project only. But if I say that I have one task, which belongs to multiple projects, let’s say that I have to make a report, which I have to do at the end of each and every week for each project. Then I can say, okay, allow multiple selections. And of course require that this column contains information, yes, of course. I want to know to which project it belongs. So I will say, yes, it must be… It is required. Now I have Project Name.

Nenad Trajkovsk…: Now I want to status also choice. What the Status is in which status is my task. So it is choice and I will say To-Do which sorry, To-Do which is going to be from my point of view in red because it must be done. Doing will be yellow so it means I’m working on it, Done will be green so it means the task is done. And I will add another choice, which is Canceled which will be gray so this task is I don’t need it anymore. Of course, I am going to have can add values manually, no. Default value will be To-Do of course, when you create new tasks, you are not going to create tasks which is Done or in Doing state or sorry Cancel, but you are going to add new tasks. So it means that you will have to work on it so it will have Default value, which is To-Do.

Nenad Trajkovsk…: And more options. It is can I… Once again, Drop-Down Menu, Radio Buttons or Drop-Down Menu. Allow multiple selection, no, because one task can have only one state, it is To-Do, Doing, Done, or Cancel. It cannot be To-Do, Done, or Done, and canceled at the same time and require that this column contains information, yes. Now I will say priority once again, choice Priority, and I will say Priority, which can be, let’s say Critical or say Low, which is going to be green, then say Medium, which should medium, which should be yellow then high, which should be orange. And last but not least it is Critical, which mean that task is critical to do. And I’ll say it will be red.

Nenad Trajkovsk…: And I will say, of course I don’t have… Do I have a Default value? No. Why? Sorry, sorry it is… I can say, so let’s say Status once again, Priority sorry. So let’s say Low, green. Medium, yellow. High, orange, and Critical let’s say it is red. Once again, I will say that it cannot be added manually. Default value is none and more options let’s see, should it be allow my multiple selection? Of course not require yes. Save and last but not least, I will say multiple line of text, which will be Common. And I will say that I don’t have to enter this. I can put rich text, which you will see what it means. And I will say that require no. Okay, now I’m done. Let, this is my Default List. Let me create new one, a new item. I can, once again, create it here, you can see Task Name, Deadline, Project Name, Status they have red asterisks. This is because I put that it must contain value.

Nenad Trajkovsk…: So I will have that this is Task 1. I will say Person to Consult no one, or I can say Kyle. I can say Deadline, which I need to have. So it will say, I’d say here default is project a, but you can see that, that it can belongs to multiple projects. I will say it belongs to project B, Status is To-Do, Priority is let’s say Critical and comment is, sorry, sorry. Comment, comment here to the pencil and I can say this is very critical task and we can get low problems if we don’t finish this task on time. And I will say low problems. I will put it let’s say bold and maybe I can say low problems here. So save I will save it. Okay. I will save it and now it is, I can hit the save and I have my task here. Now I can go here to edit in grid view, and I will say Task 2. And I will now say that I don’t have anyone to consult. I can say that I need the deadline, which will be, let’s say 21st. It belongs to Project A, Project B. Okay. So Project B sorry, here Project A and Project B. Okay.

Nenad Trajkovsk…: Now I will have, it is, let’s say doing, and let’s say it is Low priority, and comment will be, I will not have no comment. Now let me put another, Task 3, which belongs to also not available. I will put one specifically 27. I will say Project A here. Okay. Project A and I will say also To-Do, and I will say comment here and I will go to add new item, but here, since I don’t have for priority Default value and I didn’t choose anything. It says these fields require a value, okay. So I should put the value here. So we described, okay. And when I’m done, I can exit the grid view. Okay. Now what can I do with this? Let’s say that I want to see only, let’s say that only task which are in progress and which are for project A, what can I do?

Nenad Trajkovsk…: I’m click go here and say, I will filter it by Project A, okay. So I will see only projects which have project A, so if I clear this filter, filter, okay. If I put clear all, apply I will have Task 1, Task 2, and Task 3, and Task 3. But you can see Task 1 doesn’t belong to Project A. So if I put the filter here, filter by, and I will say Project A, I will have only Task 2 and Task 3. Task 2, however belongs to project A and Project B. And I also want to have a Status which is only To- Do so I’m going to hit here, say filter by and say To-Do apply. Now I have only one task. Now, what can I do? I can go here and say, save this view as. And I will say, this is Project 1 To Do tasks and I will click save. What is this? If I go here to all items, I will see all items. But if I want to see specific items, according to specific filters, then I can create here, filter whatever I want or change a view or hide one column.

Nenad Trajkovsk…: For example, I will… I want to let’s say hide column, move it right, move it left, hide. And I can save it as I showed you a few minutes before to view, specific view. And when I want to see this view, I just have to go here and say, okay, I don’t don’t want to see all items, but only Project 1 To Do Tasks.

Nenad Trajkovsk…: So if I’m going here now to all items, and let’s say that I’m going to add to the view new item, which is going to be Task 4, which is going to be person is also Kyle. And it is… Let’s say deadline is going to be, let’s say 31st of March, and we’re going to sorry, Project A. And I am going to say to do, and I will say this is Medium and I don’t want it. And I exit grid. You can see that Task 1, Task 2 sorry, is which is in Doing state, but Task 3 and Task 4 belongs to Project A and are in To-Do state. So if I go here and say, show me my Project 1 To Do Task, I will now see Task 3 and Task 4 as well, because they fulfill filtering criteria. Okay.

Nenad Trajkovsk…: Now what can I do with those lists? What can I do? I can export them to Excel. So why will have here query. If I open the here file, I will see here, my Excel file, which will show me, Title, Person to Consult, Deadline, Project Name, Status, Priority, Comment. And this is in Croatian type of the item which is item and this is Put, where is it? Where is it saying in Personal Mandatory Cost List To-Do list. Okay. So I can now save this and do whatever I want with this Excel file. On the other hand, I will show you with something completely different now. I will show you in my desktop that I have My To-Do list.

Nenad Trajkovsk…: Okay. You can see here that I have from my real life Task, Due date, Project Status, Priority, Comment. And I have all of them here. Of course you will not understand what is it in the task, because this is on my native language, but this is just for the purpose of showing you example, when I can go to Microsoft List and I can say new list, but I can say from Excel. So now I will say, I will upload file. I will upload file from my desktop. I will have to look To-Do task and I will have to wait some time and it will ask me, okay, this is Table-query 3. Okay. And now it will ask me title. This is title. I will say, this is single line of text. Due date so each and every field from Excel, each and every column should cascade its own type. So Task Name is single line of text. Let’s say that this due date is all of course Date and time project is, I will say choice. Status is choice. And now I cannot see further, any further columns to the right, but I should scroll to the bottom, which is a little bit inconvenient, then scroll to the right, then go back up and say, okay, priority is also Choice. And this comment is not single line of desk, but multiple lines of text. And I will say next.

Nenad Trajkovsk…: Now I can, let’s say, choose this color. I can choose let’s say, this icon, I will create it. And what I will have? I will have my list, which is created from Oh, I didn’t rename it. Okay. So you can see, I didn’t rename it, but I can rename it now To-Do from my Excel and I will have it saved and now I have everything. Of course, if I want to, let’s say, have a project here. So To-Do, Doing, Done here, or if I want to change these to choice, which is not inherited, I can go, sorry I can go here in my Status. I can go to column settings. I can say format this column, and then I can say choice and I can have choose which styles do I want. And also I can change whatever I want. I can say that I have To-Do, Doing, and Done.

Nenad Trajkovsk…: Okay. So this is the third thing, the third way in which you can create your list. So I covered from predefined Microsoft List, from Excel, from Blank list. And now I will show you one thing more. Let’s say that I want to use To-Do List, which was created from the scratch, but I want, let’s say to have it in another way. This is another list, or this is something which and I can use for another type of project or whatever. I’m going to have Microsoft list, I will have new list and I will say from existing list, and it will ask me from which one do you want your new list? So it will show me all the lists here. And I will say, okay, I will need to do my To-Do list.

Nenad Trajkovsk…: So I will say, okay, from existing list, let’s say To Do, which is created here. Okay, I will say next. Now I’ll choose a column, I will choose airplane. And because this list already exists, I will have To-Do list from my previous list because you don’t, you cannot have two lists with same name, I will say, create and now I have my list, which is exact the same as previous list, but be aware that when you create the list from existing list, you will not have items which are in those rows, in this new list. So you will create basically the same structure of the old list, but it will be empty. Now I can do whatever I want. I can go to Person and I can say column settings. And I will say, let’s say, edit it, edit this column settings. And I will say delete. I don’t want this column here. Okay. Let’s say deadline. I don’t want deadline as well.

Nenad Trajkovsk…: So column settings, edit, sorry. Column settings, edit, delete. I want status to be changed. So let’s say column settings edit, and I will say I have To-Do, Doing, Done. And I don’t want Cancel. I will say save and default is none, save. So you can see that I can create list from previously and I can have everything what I want. So this is basically it. Now the last thing, watch what I want to show you is if I want to get [inaudible 00:39:34] I can say that I don’t need to do list from my Excel. I don’t like it, or I don’t feel it anymore. I will go here in settings and I will go to list settings. And I will here go to the SharePoint directly to the SharePoint. And I have a lot of things which I can do, but I am not… I don’t have time to show you all of them, but I will show you delete that list.

Nenad Trajkovsk…: And I will say, do you, I want to send it to delete, recycle bin? Yes. Now what is something annoying? It still remains on recent list, but if you hit on here, it will say, how can I reach it? So it’s obviously deleted. So when you delete the list, don’t forget to go to here, open action and say, remove from recent list. Otherwise you will have a list which is useless because it doesn’t exist anymore. So let’s say that I want to delete this list as well. I can go here. I can go… When I choose this list, I can go to my settings and I can say, okay, list settings. So it is… It will be delete my work progress list. Okay. Delete now my work progress list is going to be removed from my recent list and that’s it. ladies and gentlemen, that’s all it’s now I am glad that I can inform you that during this session not earthquake was hit Croatia. So I’m now cool and calm to answer your questions if you have any, thank you very much, Kyle.

Kyle: Thank you, Nenad. We do have a few questions and first. Let me just say thank you for continuing the webinar. Even with the earthquake that occurred before we began, hopefully that wasn’t serious for anyone and we hope you’re safe in Croatia there-

Nenad Trajkovsk…: We are and I hope we will stay safe. We are just now I I’m organizing one big conference, which I will let you know, so you can spread the word. We crowdfunding for a town which was totally destroyed. People are out of the street lost their homes, et cetera, et cetera. So we are going to organize one huge conference. All will be done by MVPs just to collect some money for those, for people. Now I’m ready for your questions

Kyle: … yeah, absolutely. Please let us know. We’ll definitely be happy to share that and help support. So we do have a few questions the first one from Sylvie, she said she wasn’t aware of Microsoft Lists, until recently was when was it introduced by Microsoft?

Nenad Trajkovsk…: It was introduced I think, yeah, I will tell you it was introduced, I think in November this year.

Kyle: Okay, great-

Nenad Trajkovsk…: No last year sorry last year.

Kyle: .. that’s last 2020 right.

Nenad Trajkovsk…: Last year. I’m still in last year okay.

Kyle: So we have a question from [Charos 00:43:01] asking if, uh, lists integrates with a Project or Outlook as well.

Nenad Trajkovsk…: Well, with Project no with Outlook you can integrate if you go to settings here, okay. I don’t have time to show you, but you can do it by settings. When you have the list settings, you can here as anything which you can do with previous list in … Or at least you can integrate it with your Office 365 active directory. And then you can set up the rules and everything, what you want, for example, for each new task which is assigned to you, you can have a mail et cetera, et cetera. Yes but with Microsoft Project not for the moment.

Kyle: Okay, great. Question from Ian and he’s asking, do you have any control over the column widths or row Heights? A lot of texts in the comment field could use up a lot of screen space. So he was just curious.

Nenad Trajkovsk…: Yeah, it can, but yeah, they basically if you go to settings here list settings. Okay. You can see here. Okay. Let me no, no, no, no, no. To-Do lists from my previous list let me show you, you can do it first of all, to do list. Okay. This list settings. You can have here. I lost it here. What are requireds? What is the title? But I cannot see, okay, let me… I saw it somewhere list name, description, where it says once settings, validation settings, I can, I think you can have it somewhere here, but at least if you go back on the list, you can save as a view. So you can go here and you can do whatever you want. And then save as a view or you can go here.

Nenad Trajkovsk…: Let’s say person here and say column settings and, format this column. And you can have a various thing which you can do is for example, how can you view it? How can, what is the width, but advanced mode, but seriously, you can add sure you get, you can do it here in list settings when you have your SharePoint settings. But I cannot show it now because I didn’t work with that recently, but I can have, I can certainly aware that it has a possibility to format with an height to have a lot of base. But anyway, if you are going to have a long list, then whatever you do, you will have to scroll it left and right. But it is obviously annoying, but when, if you want to fit on one screen, this is only my laptop. But if you have wider screen, you will see much more data than in a laptop. But yes, the answer is yes, you can set it up.

Kyle: Okay, great. Let’s sneak one more question in before we close out here, this one is from Don and he was just asking what criteria or reasons, do you have that you would use Lists over Microsoft Project?

Nenad Trajkovsk…: Well first of all, what kind of projects are we talking? Microsoft Project and Lists are totally different things. Why? Because with list I will show you something which I created from List. And I was show you now my documents. And I will say, I will show you my To-Do. And I have here To-Do, okay, this is the list is something which I use each and every day for my… As you can see, I have various projects, I have various status. I weigh a priority and I have a long list To-Do as a project manager. Why should I use it instead of Microsoft Project? So if you can see this or this one, okay, it is totally different than let’s say Project. Project is tool, which will get you tasks and dependencies of that task.

Nenad Trajkovsk…: And that is why it isn’t it so you can see the theme, you can see the board, you can see buckets, you can see timeline and you can see also dependency. So you can see here, let’s say Task b. And let’s say it is three days. And let’s say, I can go here to timeline and I can say, okay, they are connected, et cetera, et cetera.

Nenad Trajkovsk…: But this list is something which helps you in each and every day works. When you have a lot of tasks at least for me, and you don’t want to manage it through Project because Project is focused on one project and one project only. So this is basically To-Do is like, I will show you here. You can see that Microsoft has its owns To-Do, you can see To-Do application, which is Task list. So basically you have how it works. You have Microsoft roadmap in which you have roadmap for each and every project. So you can see all projects in one place. Then you have a project which is project focused, who is doing what, what are independency? And the lower level is tasks is micromanagement for tasks on specific projects. If you want to use it, that if you use Microsoft project and you have everything, what is needed for your daily job in it.

Nenad Trajkovsk…: So that means that you for sure will not use Microsoft List, but this list doesn’t have to be used only for projects it can be used for everyday task is can be used as you can see here for templates from templates. Okay, here, you can say employee onboarding, interview, asset manager.

Nenad Trajkovsk…: So for example, which has to do here, what kind of computers do you have? What kind of other keeping do you have? content scheduler, travel request, whatever you need. So List is not only for projects. It is used for various kind of things, which you can handle with them. Okay. I hope that these answer should… Was good enough for our audience.

Kyle: Absolutely. Thank you very much, Nenad. And that takes us up to the end of the session here. Anything else before we close out today?
