Hoping someone can answer this for me. We recently set up this integration so project tasks can be managed by resources directly from Outlook. Everything works well with one exception. This service is passing tasks with Booking Types of BOTH Committed AND Proposed through to Outlook. We definitely want the committed tasks but do not want “Proposed” booking type tasks. This is a major problem as part of our project closeout process is to change all booking types on all tasks to Proposed. The affect of this is that we are getting years of old project tasks flowing to Outlook for all of our resources. Right now we are only in our test environment. Is there a way to only integrate the “committed” tasks?

Max. Good question. I realize it’s being picky but just so that we are all on the same page…Booking Type is a Resource field, not a task field. The reason I’m saying this is to try using the Published field, which is a task level field. Set the Published field to NO for those tasks you don’t want an update. I believe this will work for you. Good luck…

Larry, thanks for that information. It brings up a few questions. I would expect that once I do that for all tasks in a completed project that I would no longer see those tasks in the MS Project Center. However I do still see them. Is this how published (no) is supposed to work?
My fear is that since we still see the unpublished tasks, then they will be picked up in mysite and Outlook syncs.

I should have explained this when I first answered your question because it always comes up. Publishing the project and publishing the tasks are different. The task Publish flag is strictly for task assignments. The project is still published and the scheduling still shows in the Project Center. Publish no for the tasks is just for publishing assignments to the team. So the question is: are they being picked up in mysite and Outlook syncs?

Yes that was my question but I think you are saying they will not show up in mysite and Outlook once set to No. You have been a great help, I really appreciate it. Do you know where I can find Microsoft documentation related to the Outlook Integration?

Glad it helped… Other than TechNet and doing a basic search I don’t have any special place for documentation. MPUG might have an article.

      Well Larry,
I spent a week changing all 100% tasks to “Unpublished” I our DEV envirnoment this worked as you had described and they did not sync with Outlook. Today we turned this one in our PRD environment and all tasks came over including those that are unpublished. Have you seen this before and do you have any recommendations?
      Thanks!
      Max

Sorry Max, I haven’t seen that, but I’ll admit I’m not an expert in Outlook sync. Maybe someone else has some ideas.
