Client only – In using the Advanced option I get an error message and action dialog box when I try to add a New Resource.  But when I add a NEW task no error message – Project 2010 accepts and adds new task – any advice

this is the error message you get when you have the Option turned off

When you “try” to add resource you get the error message.  outlining what you need to do.

when you add a Task, you dont get any error message and the New Task is added

This is working as expected, and as described in the graphic you have posted.  It is there to stop you mistyping names for resources, or accidentally adding them.  What is is about the behavour you are seeing that is causing confusion?

The point I’m trying to make here is that:

      1. the option works as advertised when trying” to Add a resource
      2. But allows you to Add a Task without any error message

the question is, is there a bug in Project 2010 or am I doing something in error.  Is this something that works at the Server level only?

James,I believe your question has to do with where you are adding tasks and resources. If you add a resource in the resource pool, you will not get an error. Likewise, if you add a task in a task view you won’t get an error. The error in coming up because you are attempting to add a resource from a non-resource view (like the Gantt Chart). Hope that helps.

Larry has this nailed; though I can’t work out how to add a task in a resource centric view.

Here’s the detail from the 2007 help.

Automatically add new resources and tasks     Automatically adds new resources to the resource pool and assigns them default values whenever you enter a new resource name or new resource initials. Clear this check box if you want Project to alert you whenever a new resource or task is created while making a new assignment. Clearing this check box can protect you from adding misspelled resource names or tasks to your project. This is a local setting saved with the active project. By default, this check box is selected.

      Hello James,

In a Resource Usage view, set focus to the task assignment line just below any resource line (i.e. click on any field on the assignment line). Then hit Insert key to open a blank line and try to enter name of a task that does not exist in your schedule. Project will display the dialog box below if the checkbox Automatically add new … and tasks” has been cleared ([ ]):

      DoNotAddTasksAutomatically

Click “Yes” to create the new task assignment and add this task to your schedule or click “No” to cancel. What is the use of this feature ? I guess it is obvious; if that option is on ([x]), Project will silently add a new task to your schedule using the mistyped name.

OK if we look at the Option it referes to both Resources and Tasks.  We can see that if you try to add Resources with this Option unchecked you will get an error message i.e. Project is working as advertised.

However, with the option unchecked” and either Inserting a Task to a Gantt chart view or adding a Task to the bottom of a task list within the Gantt chart view no corresponding error message is generated by Project.

I guess what I’m trying to do is Lock the schedule down to indiscriminate TAsks being added without an error message being generated.

      What am I missing?

HI Ismet, I can see it now. And have tried it.  Thanks

Although I’ve never done it (added task(s) within a Resource Usage view) it does generate the error message (per your comment).  Given that I’ve only ever added Tasks within the Gantt view I thought that we had a bug in Project.  Thanks for your assistance in this.  James

I think this is closed now!!

just to complete the loop, I can get the message when adding tasks in the resource sheet in Project 2007/10, but not in Project 2013.  Pressing the Insert buton has no effect.

      James, You’re welcome.

IMO, the checkbox name would be more descriptive as follows: [x] Always ask before adding new resources or tasks in assignments

Logic suggests that the default setting should be just the opposite.

      Regards.

Microsoft (IMO) leaves it unchecked for those new and beginner users. I see this in other options as well. It is logical for advanced users but Microsoft keeps the application completely open for those first time users. You wouldn’t want a bunch of popup messages coming up when someone is just trying to produce there first Gantt chart. Again, it is my own opinion.

Larry, thanks for insight. In Project 2013 trial, as Ben noted, in both of the Usage views, the “Insert Assignment” command on the right-click context menu (when opened over an assignment line) has been grayed out. It’s interesting, the command is there but inactive.

Thanks Larry, I agree.  You dont want pop-ups appearing all the time.  James
