I maintain roughly 30 project schedules for my company. Because only certain people have Project installed, the company has required all program managers to make the schedules available as PDF files for general viewing on our intranet.
Opening, unfiltering, and “save as” printing PDFs takes a large amount of time. Since it has to be done weekly, it is a major non-value-add time waster.
QUESTION: Before I resort to some kind of 3rd party macro software, does the forum have any suggestions for creating the PDFs with less effort? Is there a way to batch “print to PDF”? Or, perhaps batch “save-as PDF”?
I’m using MS Project 2010 Professional. I’m not precisely sure what you mean by “creating the filters” and “recording your own macro”.
The filters I referred to originally just mean that the my mpp files are not always saved in an unfiltered state. For example, it might be saved with a filter for incomplete tasks or saved with a filter for tasks that start/finish by a certain date. Since I have to post the complete schedule (all tasks visible regardless of open or closed) to the intranet, I often have to unfilter everything before I do my “save-as PDF”.
The macro I referred to originally was part of one less-than-optimal solution I’d been thinking of. I’m sure there is a 3rd party macro software somewhere that would record me opening each of the 30 files, unfiltering, and saving. However, this seems expensive and cumbersome. Perhaps you had a built-in MS Project macro function in mind?
Just for clarification, here is what I have to do each week with my 30 projects.
Open Project #1
Remove all filters
Save As PDF
Close the project.
Open Project #2
Repeat steps 2-4 a total of 29 times.
