      Hi,
I am looking for a way to create/export reports for multiple projects using the ‘notes’ fields in Micosoft Project 2016.
I like to select all notesfields for, lets say, 50 projects. Goal is to make a quick view for all colleagues with a short monthly update.

Does anyone has experience with this?
      Or advice?

Margreet, my first response is that the best solution by far for managing and/or reporting 50+ projects is through Project Online / Server. Depending on the size of the schedules, opening 50 projects might not even work. But, assuming Project Online / Server isn’t in the cards, I’ll provide a solution that might work for you.

You can open multiple projects at the same time by using Windows Explorer. Just select multiple projects using the Control or Shift key to select the projects and then select Open. Once open, go to the View menu and select New Window. You’ll be able to select multiple projects and open them in a specific view (which could be a custom view from your global). Now you have all project tasks in a single view. As stated, I’m not sure this will work with 50 projects but you can extend this by using Excel. You’ll just need to do this in separate batches.

Not the best answer but again I would encourage Project Online. There may be a tool or app that can open multiple project schedules within Windows Explorer but I don’t know of any at the moment. Someone might also have other ideas. Hope that helps…

Larry, thank you for the reply. We have in fact Project Online 2016. But we did not find a solution yet. When we export the notes field, there are problems with the layout. Sentences are cutted, only information preceeding the first [enter] is exported.

Margreet.. If that’s the case then you have other options. It makes much more sense that you are using Project Online with 50 projects. Excel Services and Power BI are the two options that can provide much better output of notes and other multi-line custom fields. There are a lot of blogs, articles, and videos available if you are a self-learner. Otherwise it isn’t hard to get you started. Best opportunity is to have someone who is good with Excel, pivot tables, external connections, and even Power Pivot. The more he/she knows the easier it will be to create some good looking reports. Hope this helps…

Thank you. I will share your information with my colleague. It gives me a better prospect with these tips.
