Does anyone know if you can open a project schedule in 2010, that is in the server environment with out the cost information being available. I would like to be able to share my schedule with my customer, but do not want them to have access to my resource rates, or other costs. Currently have to manually delete all of the rates for all of the resources, each time I want to share the information, this is an impractical method as some schedules have lots of resources, with rates spanning 8 plus years.
Any suggestions would be greatly appreciated.
Hi, alas it is not possible – if you can open the schedule, you see everything in it. What I would do instead is export the data that you want the customer to to see into excel, and then rebuild a new schedule from the excel file and send that to the customer. It sounds complex, but is very easy as Project allows you to create a map, which matches the fields from Project to/from Excel.
I’ve done this in various instances, almost always to remove costs, and it is a 5 minute job only. The first place to start is Save Asv and choose the Excel format. Please post again if you are having issues.
You mentioned in your question that the schedule “is in the server environment.” If on Project Server, a better approach opening/sharing the schedule in the client (which will provide access to everything in the schedule) might be to share the schedule with the customer via PWA. We have successfully done that by creating a group/category specifically for customers that does not allow them to access cost information, then creating views specific to what the customer needs to see and tying them to the customer category. You can then provide them online access directly to schedule information rather than opening or passing around schedules.
Alas, any Actual Cost values will remain, only planned costs dependent on resources will be changed. Fixed costs will also remain. As I said in a previous post, I think your best route is to export the schedule data only to excel and then re-import.
Make a Copy. then in ressourslist set ressources cost = 0, save and send the Coopy to Your customer
