What is the best way to show project performance, and portfolio performance? We are using MSP 2010 Server, have a couple hundred projects loaded into the system, we use a project template to get all projects started, have key milestones, summary tasks, etc. We are not tracking resource effort/hours. But do assign tasks with either a cost or work resource.
We also have projected costs in project, but actuals are not in project, they are tracked with another program, and with so many projects, manual updates are time prohibitive.
I have some master projects grouped by project managers to show portfolio performance. I have been asked to create one large master project with all projects, but I am hesitant to do that because I’ve heard MS doesn’t suggest it, and it may crash the program.
Still learning my way, by jumping in the deep end of the pool, any suggestions would be appreciated.
You do not need to create a master project purely for the reason of reporting on them.
Take advantage of the OLAP Cubes built-in, and/or the Sample Reports/Templates. You should be able to pull your data very easily.
Create customised fields at the Project level within the global template for various metrics. Combine status reporting by PMs (eg traffic lights) with derived data from the schedule. Fields could include Traffic lights for time, cost etc plus AC, ETC and EAC independent of the in built cost fields, alternatively you could create one field for your actual cost (derived externally) but use the in built ETC and derive an EAC which you could compare to BAC or Baseline cost.
Basically dont be constrained by what MS Project gives you in the vanilla install, it is flexible enough that you can get quite creative. Be careful though, design and prototype before deploying anything.
